How does your venue negotiation service work?
We gather your event requirements, research qualified hotels or venues, manage the RFP process, compare proposals, and negotiate the strongest possible rates, concessions, and contract terms. You make the final venue selection, we ensure you receive maximum value and contractual protection.
How do your fees and commissions work?
Our compensation structure depends on the level of support you need:
- If you engage us solely for hotel contract negotiation: We receive a standard industry commission directly from the hotel. This commission does not increase your contracted rates or alter your agreement in any way, and there are no additional fees for our service.
- If you also engage us for vendor selection, contract analysis, or additional planning support: We charge a flat service fee based on the scope and complexity of your event. This allows us to manage vendors and contracts independently while still advocating for your best interests.
This structure is standard practice in the event industry and ensures full transparency.
How much can I expect to save by working with you?
Savings vary by destination, season, and event size, but clients commonly save thousands to hundreds of thousands of dollars through negotiated rate reductions, waived fees, additional concessions, and strengthened contractual terms. Even small adjustments can have a significant impact on your overall event budget.
Can you help if we’ve already signed a hotel contract?
Yes, with some limitations. Once a hotel contract is signed, the rates and terms are legally binding and cannot be renegotiated. However, we can still:
- Review the contract to clarify obligations and timelines
- Support you through the planning and execution process
- Advocate for added value where possible (evaluated case by case)
- Manage vendor sourcing and negotiations for all remaining event needs
While the signed contract cannot be rewritten, clients still benefit from expert guidance, reduced
risk, and strategic support throughout the planning timeline.
